The Role

We’re looking for an Event Marketing Specialist to own the logistics and execution of our events program. Wealthbox attends 25+ industry conferences per year and hosts a handful of smaller regional events. This role makes sure all of it runs smoothly: before, during, and after.

This is a detail-oriented, execution-heavy role, but it’s not just clipboard-and-spreadsheet work. You’ll be responsible for maximizing the impact of every event we attend, not just making sure the exhibit booth gets delivered. That means partnering with the marketing team to run pre-event campaigns that drive on-site meetings and post-event campaigns that convert leads into pipeline. And we expect you to use AI and automation to manage the complexity of a growing events program without letting anything slip through the cracks. If you can build a workflow that automates booth shipment tracking, vendor follow-ups, lead list processing, and post-event reporting, that’s what we’re looking for. The goal is to operate an events program that punches well above its weight because you’re using every tool available to stay ahead of the logistics.

You’ll work closely with the VP of Marketing, our Partnerships Marketing Manager (who leads our webinar program and currently manages trade shows), and our Growth Marketing Engineer (who builds AI-driven demand gen systems). You’ll also coordinate with sales leadership on event strategy and staffing.

What You’ll Do

  • Own end-to-end logistics for ~25 industry conferences and regional events per year: registrations, sponsorship deliverables, booth setup and teardown, shipping, swag, travel coordination, and on-site execution.
  • Plan and execute pre-event campaigns to maximize on-site meetings: targeted email outreach to registered attendees and target accounts, social promotion, and coordination with SDRs and AEs to book demos ahead of the event.
  • Run post-event follow-up campaigns to convert event leads into pipeline: lead list processing, segmented nurture sequences, and coordinated handoffs to the sales team.
  • Process and upload event leads into Salesforce promptly after each event, ensuring proper campaign attribution and clean data entry.
  • Coordinate internal company events including our annual company offsite and sales kickoff, managing logistics from venue selection through on-site execution.
  • Manage vendor relationships for event services, printing, shipping, promotional items, and any third-party partners involved in event production.
  • Build and maintain automated workflows for recurring event tasks: pre-show checklists, vendor communications, attendee tracking, lead capture processing, and post-event follow-up sequences.
  • Coordinate with sales leadership on event staffing, meeting schedules, and on-site priorities for each conference.
  • Track and report on event performance: leads generated, pipeline influenced, cost per lead, and ROI by event. Use AI to automate reporting where possible.
  • Manage the events budget, track spend against plan, and flag variances early.
  • Research and evaluate new conference opportunities, gathering data on audience fit, cost, and potential ROI to inform which events we attend.
  • Maintain a centralized events calendar and ensure all stakeholders have visibility into what’s coming and what’s needed from them.

 

What You Bring

  • At least 2 years of professional experience, ideally with some exposure to event coordination, marketing operations, or project management. B2B SaaS experience is a big plus but not required.
  • Exceptional organizational skills. You’re the person who never drops a detail, tracks every moving piece, and sends the reminder before anyone has to ask.
  • Comfort with AI tools. You don’t need to be building agents from scratch, but you should be someone who instinctively reaches for Claude, ChatGPT, or similar tools to draft communications, build checklists, process data, and automate repetitive tasks. If your first instinct when faced with a manual process is “how can I automate this,” you’ll thrive here.
  • Comfort with marketing and sales tools like Salesforce, Google Sheets, Slack, and project management platforms. You’ll learn our specific stack, but you should be generally tech-savvy and quick to pick up new tools.
  • Strong written communication skills. You’ll be drafting vendor emails, internal logistics updates, and post-event recaps regularly.
  • Willingness to travel 6-8 times per year, primarily for attending industry conferences and internal company events.
  • A proactive, figure-it-out mindset. Events move fast and things go wrong. You’re the person who solves the problem before it becomes someone else’s problem.

 

What Sets You Apart

  • You’ve coordinated events or trade shows in a B2B environment and understand the rhythm of conference season.
  • You’ve used automation tools like Zapier, Make, or similar platforms to streamline operational workflows.
  • You’re ahead of your peers in your personal initiative with AI usage
  • You’ve worked with Salesforce and understand how campaign attribution works.
  • You’ve managed vendor relationships and negotiated contracts or sponsorship packages.
