Introducing Wealthbox Vault: Advanced File Storage for Advisory Firms, Plus AI for Client Documents
October 28, 2026 · 4 min read

Wealthbox issued a press release today to announce Wealthbox Vault, a new add-on that gives advisory firms unlimited file storage, full-content search, retained file versions, and a Compliance Monitor role with a complete audit log of file activity.
Alongside the launch of Vault, Wealthbox is expanding its AI capabilities to work with client documents for all users. Advisors can now use Wealthbox AI to ask questions about documents, extract information, and propose updates to client fields for review. These are available on every Wealthbox plan, with or without Vault.

John Rourke, CEO of Wealthbox
“Most firms keep the client record in one system and the client file in another, so their AI only ever sees half the picture,” said John Rourke, CEO of Wealthbox. “When both live in Wealthbox, Wealthbox AI can work from the actual documents. Vault is for firms that want every file, and every version of it, in the same place as the client record.”

What Wealthbox Vault Adds
Wealthbox Vault gives advisory firms tools to store, search, organize, and manage client documents.
Recordkeeping Controls

Vault gives firms greater control over file retention and recordkeeping to support their compliance requirements. Files stored in Vault cannot be deleted by any user, including firm administrators. Instead, files can be archived to remove them from active view while preserving the original record.
When a new version of a file is uploaded, all previous versions are automatically retained. Firms can also export all Vault files, or a filtered selection, at any time as a .zip file that maintains the original folder structure and includes a CSV manifest.
Compliance Monitor Role

Vault introduces a dedicated Compliance Monitor role, giving designated users read access to every file and folder within their assigned workspaces, regardless of individual file permissions.
Compliance Monitors can also view and export a complete audit log of Vault activity, providing greater visibility into document activity across their assigned workspaces.
Full-Content Search

With Vault, advisors can find documents without knowing their filenames.
Full-content search indexes the text inside PDFs, Word documents, spreadsheets, presentations, scans, and images. Advisors can search for a word or phrase and find matching files directly in Wealthbox, including scanned forms and photos of business cards.
Household File Aggregation

Vault automatically brings together files associated with individual household members, making them accessible from the household record.
This gives advisors a consolidated view of a family’s documents without having to open each contact separately.
Document Organization and Previews

Vault includes custom fields and advanced filtering to help firms organize and locate documents.
In-app previews also let advisors review PDFs, documents, spreadsheets, and images directly in Wealthbox without downloading them.
Expanded File Storage and AI for Every Wealthbox User

In addition to Vault, Wealthbox has introduced new file management and AI capabilities available on every Wealthbox plan.
Advisors can store files alongside the client records, tasks, and workflows they relate to, and now organize those files into folders.
For firms moving files from another storage provider, Wealthbox also offers self-service file import. Users can upload a .zip file of client folders and map each folder to a Wealthbox contact.
Wealthbox AI can now read PDFs, Word, Excel, and PowerPoint files, text files, scans, and images stored in Wealthbox. Advisors can use AI to ask questions about document contents, extract information, and propose updates to client fields for review.
These file management and AI enhancements are available on every Wealthbox plan, with or without Vault.
