New AI Notetaker Enhancements in Wealthbox

Since the launch of the Wealthbox AI Notetaker, advisory firms have shared how it is helping them save hours each week and stay more present during client conversations. Instead of splitting attention between listening and typing notes, advisors can focus on the discussion, knowing meeting details, follow-ups, and action items will be captured accurately in Wealthbox.

To make that process even easier, Wealthbox is rolling out a series of updates to the AI Notetaker designed to capture more conversations, improve visibility into meeting activity, and reduce the work that happens after the meeting ends.

Upload Recordings

With the new recording upload capability, users can upload an audio file directly to a meeting in Wealthbox and receive the same AI-powered output as a live Notetaker session. Uploaded recordings generate a transcript, an AI-generated summary, suggested tasks, and a follow-up email draft, even if no notetaker was present during the original call.

Meeting Reports

Wealthbox now includes enhanced reporting focused specifically on meetings. Meeting Reports provide aggregate insights into meeting activity and help managers and firm leadership understand volume, participation, and patterns across teams.

Users can generate meeting-focused reports within the existing Reports section, with visibility based on their permissions. These reports help teams track meeting frequency, monitor meeting types, and gain insight into client engagement while supporting internal oversight and compliance needs.

Meeting Reports turn raw meeting data into actionable intelligence that supports better planning, accountability, and operational decision making.

“AI Processed” and “Complete” Statuses on the Index View

The meetings index now displays AI processing and completion statuses directly in the list view. Users can quickly see which meetings are still awaiting transcription, which are ready for review, and which have been fully processed and marked complete.

This visibility removes the need to click into individual meetings to check their status and helps users prioritize conversations that still require attention. Meetings can now be easily categorized as not yet AI-processed, processed and ready for review, or fully complete with notes and actions finalized.

Additional Filters on the Meeting Page

New filtering options in the meetings list make it easier to find specific meetings. Users can filter by status, date range, and participants to narrow results without scrolling through long lists.

These filters are especially useful for teams reviewing past meetings, preparing for upcoming conversations, or managing follow-up across multiple clients and advisors.

Personalized Notetaker Display Name

When the AI Notetaker joins a Zoom or Microsoft Teams meeting, the user’s Wealthbox first and last name now appears in the lower-left display label instead of a generic notetaker name.

This creates a more professional experience for meeting attendees and makes it clear which notetaker belongs to which advisor. The update helps meetings feel more natural while maintaining transparency around AI participation.

Draft Note from Notepad or Summary

Users can now generate a draft CRM note directly from the meeting notepad or the AI-generated summary with a single click. This shortens the path from raw meeting content to a clean, structured CRM record.

By reducing manual copying and formatting, advisors can document conversations faster while keeping records consistent and accurate.

Automatically Associate Meeting Contacts with New Meeting Tasks and Notes

Notes and tasks created from meetings now automatically inherit the meeting’s associated contacts. This ensures all follow-ups and documentation are connected to the right people without extra data entry.

By automatically linking contacts, Wealthbox keeps records complete, improves visibility into relationship history, and reduces the risk of action items falling through the cracks after important conversations.

More Updates to Support Daily Work

These enhancements focus on practical improvements teams rely on every day, from converting meeting insights into tasks to supporting existing scheduling tools and extending meeting preparation. Each update is designed to help advisors stay organized, prepared, and consistent without changing how they already work.

Task Idea Conversion for All Users

AI-generated task ideas can now be converted into real tasks by any user, even if they do not have an AI Notetaker license. This allows teams to benefit from meeting-generated action items regardless of who owns the notetaker and ensures follow-ups are not delayed by licensing limitations.

Extended Meeting Prep Window

The meeting prep view now looks ahead four weeks instead of just a few days. Advisors have more time to review client information, prepare agendas, and understand upcoming conversations well before meetings take place.

Support for Calendly Meeting Links

The AI Notetaker now recognizes and supports meetings scheduled through Calendly. When a Calendly meeting is added to a connected calendar, the notetaker can join automatically just like any other scheduled event.
