5 Updates to AI Notetaker, Including One That Changes How You Walk Into Every Client Meeting

Wealthbox is introducing a new set of AI Notetaker updates designed to make meeting prep more contextual, collaboration more seamless, and in-person recording more reliable across advisory teams.

Meeting Prep can now pull from the full contact record, including financial data, relationships, referral sources, and special dates, giving advisors richer context before every client conversation. This release also expands Meeting Prep access across the workspace, brings native in-person recording to Android, and adds deep links inside prep briefs so advisors can quickly move from insights to action.

Richer Contact Context in Meeting Prep

Wealthbox recently enhanced Meeting Prep by incorporating full contact profile information directly into AI-generated prep briefs. Previously, prep briefs relied primarily on activity history such as tasks, meetings, and notes. Now, the AI can also reference broader client context stored inside Wealthbox.

Meeting Prep can now incorporate:

  • Contact type
  • Tags
  • Referral source
  • Financial data
  • Background information
  • Relationships
  • Special dates

In addition, prep briefs now include a Client Snapshot section that surfaces key information at the top of the meeting prep experience.

This feature helps advisors prepare with greater context and personalization. A long-term client review meeting can now be framed differently than an introductory prospect meeting, and financial recommendations can be interpreted relative to the client’s broader financial picture.

The result is smarter prep, stronger personalization, and less manual mental work before client conversations.

Wealthbox has also introduced behind-the-scenes enhancements to improve the accuracy of AI-generated transcripts, summaries, and follow-up emails. The system now pulls in industry keywords and participant name spellings to better recognize financial terminology and attendee names during meetings.

While this works automatically in the background, it helps reduce common transcription and spelling issues that can occur during client conversations, resulting in cleaner meeting outputs and more accurate follow-up communication for advisory teams.

Contact-Based Meeting Visibility

One of the most requested improvements from customers is now arriving in Wealthbox AI Notetaker.

Wealthbox meetings have always offered granular visibility controls, with "Only Me" as the default to give advisors full control over privacy from the start. As collaborative workflows have become central to how modern advisory teams operate, we've changed the default to better match how most firms work today. This makes it easier for teammates to stay aligned on meeting details, notes, and follow-ups without extra steps.

With the new Contact-Based Meeting Visibility setting, meetings can now automatically inherit the visibility of the related contact record. Administrators can enable a new workspace-level toggle that aligns meeting visibility with existing contact visibility rules.

Once enabled:

  • Meetings linked to a single contact inherit that contact’s visibility
  • Meetings linked to multiple contacts with the same visibility inherit the shared setting
  • Meetings with conflicting visibility rules continue to default to “Only Me”

This reduces manual steps and ensures collaborative teams have access to the meeting context they need without additional administrative overhead.

Importantly, the feature remains safe:

  • It is disabled by default
  • Existing meetings are not changed retroactively
  • Users can still manually override visibility at any time
  • Visibility inheritance occurs only once during meeting creation

The feature will be available across web, iOS, and Android for all Wealthbox plans.

Unlock Meeting Prep for Unlicensed Users

Wealthbox is also expanding access to Meeting Prep across advisory teams.

Assistants and support staff have long played an important role in helping advisors prepare for client meetings. Teams can now generate Meeting Prep across the workspace whenever at least one user has an AI Notetaker license, making it easier for advisors and support staff to collaborate more efficiently before client conversations.

Now, if any user in the workspace has an AI Notetaker license, Meeting Prep becomes available to all users in that workspace.

With this change, anyone in the workspace can:

  • Generate AI-powered prep briefs
  • Use existing prep templates
  • Regenerate prep with different templates
  • Prepare advisors for upcoming meetings without requiring additional licenses

Unlicensed users receive the same prep experience and outputs as licensed users. The only limitation is that they cannot create or manage templates themselves.

This means Meeting Prep becomes a shared team capability the moment one advisor adopts it, spreading across the firm without additional friction. It also strengthens the advisor-assistant workflow that many firms rely on daily. Advisors can focus on client conversations while support staff handles preparation and coordination using AI-generated insights.

Native In-Person Recorder Expands to Android

Wealthbox recently introduced a native in-person recorder experience for iOS, designed to improve reliability for in-person meeting transcription. Android support is now arriving as well.

The native recorder replaces browser-based recording workflows that could fail due to browser refreshes, tab crashes, or navigation interruptions. Instead, recording now runs directly within the Wealthbox mobile app.

Key improvements include:

  • Recording continues while the device sleeps
  • Recording persists when the app is backgrounded
  • Clear recording indicators and controls
  • Native system-level recording status notifications
  • Improved reliability for in-person transcription

For iOS users, the recorder integrates with Dynamic Island to display active recording status. Android users will receive foreground notifications and status bar indicators with the same functionality.

Meeting Prep briefs are becoming more actionable with the introduction of deep links directly inside prep summaries.

Meeting Prep already surfaces valuable CRM activity such as tasks, workflows, opportunities, projects, and prior meetings. Those references now become clickable links directly inside prep briefs, making it faster and easier for advisors to access related records and navigate seamlessly throughout Wealthbox.

Advisors can instantly jump from the prep brief directly into:

  • Tasks
  • Workflows
  • Opportunities
  • Projects
  • Past meetings
  • Notes
  • Related contacts

This allows users to quickly investigate details, review context, and take action without losing their place in the prep workflow. This makes Meeting Prep feel less like a static summary and more like an interactive command center for upcoming client conversations.
